Managed Office

Your office team, without hiring an office team.

The point of pressure

The office follows you everywhere.

The business has grown, but the office work still lands with you.

Calls come in while you're working. Jobs move. Customers want updates. Quotes need chasing. Suppliers need answers. Then the paperwork is still waiting when you get home.

At some point, doing the work and running the office at the same time stops being sustainable.

What we handle

The work that keeps pulling you back into the office.

We agree what BeUnified will handle, when we handle it and what we're authorised to do. The exact scope is shaped around the business.

  1. 01

    Calls & enquiries

Answering and returning calls, capturing enquiries and making sure the right action follows.

Can include overflow cover, agreed answering periods or managed reception.

  2. 02

    Bookings & scheduling

Booking work, moving appointments, managing diaries and keeping customers informed when plans change.

  3. 03

    Customer follow-up

Customer updates, quote follow-up, outstanding actions and keeping communication moving after the first enquiry.

  4. 04

    Email & administration

Shared inboxes, paperwork, data entry, documents and the recurring administration needed behind the work.

  5. 05

    Suppliers & job support

Supplier liaison, parts administration, job coordination and the office work needed to keep field activity moving.

  6. 06

    CRM & records

Keeping customer, job and operational records current so the business has one reliable view of what is happening.

Why it's different

We don't wait for a task list.

Managed Office is designed around responsibility for agreed recurring work, not a stream of individual instructions.

Traditional VA

You send the task.

You notice what needs doing, explain it and hand it over. The responsibility for spotting the work and keeping it moving remains with you.

Managed Office

We run the workflow.

Once the scope and rules are agreed, BeUnified keeps the work moving without you having to initiate every individual task.

How it works

Agree it properly. Then get on with it.

We learn how the work runs today, agree the scope and rules, connect what we need and take responsibility for the agreed workload.

  1. 01

    Understand

We learn how enquiries, customers, jobs and office work currently move through the business.

  2. 02

    Agree

We define what BeUnified handles, coverage times, escalation rules and what we can action without coming back to you.

  3. 03

    Connect

We connect the phone, email, calendar, CRM and other systems needed to do the work properly.

  4. 04

    Operate & improve

We handle the agreed workload, keep the records current and improve repetitive processes where there is a better way.

Technical, legal, HR and material financial decisions remain with you unless explicitly agreed otherwise.
