The business
Air Con Services is an air conditioning and ventilation contractor based near Towcester, Northamptonshire. Established in 2012, the business installs, maintains and repairs systems for commercial and industrial customers.
The team was working on paper. Getting a job ready for invoicing meant getting the paperwork back first. Finding an equipment detail could mean asking an engineer whether they still had a photograph of the model number.
ClimaticFlow brought those working records together, connecting the office and engineers around the customer, site, asset and work carried out.
The transformation
Paper sheets needed to make their way back from site. The office had to chase the information before it could move the job on.
Engineers record the work digitally. The office can access the job sheet and review what happened without waiting for paper to come back.
Invoicing waited on the paperwork and the details of the work carried out.
With the completed work available to review, an invoice can be raised straight away once the job is ready. The paper chase no longer holds up the next step.
A model number could mean a call or message to find out who had taken a photo of the unit.
The asset record keeps the equipment’s location, model, serial number, specifications and service history together, ready for the next visit or parts enquiry.
Finding a picture or document depended on tracking down the person or place that held it.
Images and files are now stored centrally and easily accessible, so the team can find the information they need without asking around.
The next visit starts informed
Each visit adds to a record the team can use again. Customer and site details sit alongside asset information and previous PPM, so engineers and the office have the context for what comes next.
The customer-facing side
Alongside the move to ClimaticFlow, we also built Air Con Services a new website through BeUnified. It presents their installation, maintenance, repair and ventilation services, with clear routes for customers to make an enquiry.
